Terms and Conditions

INTRODUCTION

Informa Middle East Limited (Dubai Branch) (Informa), the organiser of Medlab Asia Exhibition and Congress, is conducting the Medlab Asia & Asia Health 2023 Poster Competition (the Competition) for interested medical professionals to compete to win an opportunity to: (i) present their poster onsite, (ii) win an award for best poster onsite, and (iii) win a speaking slot at a conference within Medlab portfolio, having their travel and accommodation provided.  Informa wishes to inspire medical professionals to submit their ideas for the Competition, and Informa will award outstanding innovators with the opportunities indicated above, via which they may gain the chance to learn, network and exchange ideas and experiences. 

The terms and conditions indicated below govern the Competition (Terms and Conditions).  Please read these Terms and Conditions carefully and thoroughly.  If you have any questions about any aspect of the Competition or these Terms and Conditions, please contact [email protected].

  1. THE PROMOTER

The promoter is: Informa Middle East Limited (Dubai Branch) with its address at Level 20, Dubai World Trade Centre, Sheikh Zayed Road, Dubai, United Arab Emirates. 

  1. THE COMPETITION
    • The title of the competition is Scientific Poster Competition. 
    • Competition summary: participants shall submit an abstract and poster (Poster) as specified in clause 4 below (together, with Abstract) to Informa.  For the submission to be recognised, the participant needs to be a registered conference delegate for one of the relevant conferences at Medlab Asia or Asia Health 2023.  Following submission, the Abstract shall be reviewed by Informa.  Up to thirty (30) entrants will be acknowledged by Informa via an email confirmation that their Abstract has been accepted. These top 30 entrants will have their poster displayed onsite at Medlab Asia and Asia Health 2023. The participants shall then have to present their Abstract at Medlab Asia and Asia Health 2023 (the Presenters). The top three (3) Presenters will then be selected and receive a plaque award (the Finalists). From the Finalists, one (1) winner from Medlab Asia will be chosen and one (1) winner from Asia Health  will be chosen and each shall be granted travel and accommodation and the opportunity to speak at a conference within the Medlab portfolio (each a Winner and together, the Winners). One (1) Winner will also be awarded with the ‘Best Poster’ award (Live in person). 
    • The selection of best poster will be done onsite on 17 August 2023 by the selected panel of judges by Informa. The best poster winner will be awarded with a plaque award.   
    • Winners will receive an email/phone call from Informa. 
  1. HOW TO ENTER
  • All Abstracts must be submitted in accordance with clause 3.1 by no later than 23:59 GST on 23 June (Closing Date).  All Competition entries received after the Closing Date are automatically disqualified. 
  • All Abstracts must be submitted in the English language. 
  • No purchase is necessary nor is there any charge to submit Abstract via the Website. 
  • Informa shall review submitted Abstracts by no later than 21 July 2023 and inform participants whose Abstracts have been accepted via the email address provided at entry.  If you entered the Competition and do not receive any communication informing you that your Abstract has been accepted by 21 July 2023, you have not made the next stage.
  • Informa will not accept:
    • responsibility for Competition entries that are lost, mislaid, damaged or delayed in transit, regardless of cause, including, for example, as a result of any postal failure, equipment failure, technical malfunction, systems, satellite, network, server, computer hardware or software failure of any kind; 
    • proof of posting or transmission as proof of receipt of entry to the Competition; or 
    • responsibility for any combination of events mentioned in clause 3.6.1 or other events, including injury or damage to any participant’s or any other person’s computer related to or resulting from participating in, or downloading or uploading any materials relating to, the Competition.
  • The Abstracts shall follow the specification set out in clause 4 and any other specifications set out on the Website (the Abstract Specification).  If there are any conflict between these Terms and Conditions and the Abstract Specification, the Abstract Specification shall prevail only in so far as the conflicts. 
  • Participants acknowledge and agree that Informa may, at its sole discretion, display any submitted Abstracts online at or in connection with Medlab Asia and Asia Health 2023 or any other Medlab conferences/exhibitions organised by Informa or any other companies that are part of the Informa Group (whose ultimate shareholder is Informa PLC). 
  • Informa shall review the Abstracts and shall select up to five (5) presenters for Medlab Asia and up to eight (8) presenters (Presenters) for Asia Health.  The Abstracts shall be judged under the following criteria and consideration: 
    • the application of the solution;
    • showing of substantial evidence of the nature of the problem;
    • the method(s) used to reach a viable solution; and
    • a solid explanation of that solution.
  • Entrants of the Competition must be registered delegates who are attending Medlab Asia and Asia Health 2023 and are available to present their Abstracts to a panel of judges selected by Informa.  Details of the presentations shall be sent to Presenters via email. 
  • If a Presenter does not present their Abstracts at Medlab Asia and Asia Health 2023, they will automatically be disqualified from the Competition. 

 

  1. ABSTRACT SPECIFICATION
    • All Abstract entries must include the following:
      • definition of the problem and research goal;
      • documented steps used in the application of methodology;
      • a description of how the solution has been used to improve lab processes and/or analyse their work; and
      • viable substantiated results which are a solution to the stated problem.
    • All Abstract entries must fall under any of one of the categories and further a sub-category (and be identified as such):

  6. Immunology 

Category 2

  1. Total Radiology
  2. Decontamination and Sterilisation

  • Participants warrant that any Abstract submitted is their own original work and does not infringe any third party intellectual property rights in any way.
  • Abstracts may not contain any type of advertising or logos. 

 

  1. ELIGIBILITY
    • The Competition is open to all employed medical professionals that have registered as delegates of either Medlab Asia or Asia Health 2023 and are aged 18 years or over, except: 
      • employees of Informa or any other companies that are part of the Informa Group; 
      • employees of agents or suppliers of Informa or any other companies that are part of the Informa Group, who are professionally connected with the Competition or its administration; 
      • members of the immediate families or households of 5.1.1 and 5.1.2 above; or 
      • sanctioned or embargoed individuals or residents of a sanctioned or embargoed country according to applicable international trade sanctions, as updated from time to time. 
    • In entering the Competition, you confirm that you are eligible to do so and eligible to claim such prizes as are described in these Terms and Conditions.  Informa may require you to provide proof that you are eligible to enter the Competition.
    • Informa will not accept Competition entries that are: 
      • automatically generated by computer;
      • illegible, have been altered, reconstructed, forged or tampered with; or
      • incomplete. 
    • Informa reserves all rights to disqualify you at any point during the Competition if your conduct is contrary to the spirit or intention of the Competition. 
  1. THE PRIZES
    •  Up to thirty (30) entrants shall have their work displayed onsite at Medlab Asia and Asia Health 2023. 
    • The top thirty (30) entrants for Medlab Asia and Asia Health combined shall be granted the opportunity to present their Abstract onsite at Medlab Asia and Asia Health 2023. 
    • The top three (3) Finalists shall be selected from the Presenters to receive a plaque award. 
    • Special recognition along with a plaque award will be given to one (1) participant from the thirty (30) Presenters  for Best poster onsite award. 
    • (1) Winner from Medlab Asia and (1) Winner from Asia Health selected from the Finalists, shall each receive the following:
      • (1) speaking slot at a conference in the Medlab portfolio 2023; 
      • accommodation for one (1) person for up to three (3) nights for attendance at the conference at any Medlab portfolio event in 2023; and 
      • a round trip ticket to the selected country, by economy class from a major airport located in reasonable proximity to the city of residency of the Winner.  The airport and airline, dates and times are to be selected at the sole discretion of Informa.  The prize does not include travel insurance, the cost of transfers to and from airports or stations, the cost of transfers to and from accommodation to the venue for the Medlab event, food and drink, spending money, tax or personal/incidental expenses. 
    • Any other costs incurred in addition to those set out above and that are incidental to the fulfilment of the prizes are the responsibility of the Finalists and the Winner. 
    • You will be responsible for ensuring that you are available to travel and that you hold valid passports, any necessary visas and travel documents for travel in question on the travel dates specified by Informa. 
    • Participants acknowledge and agree that Informa shall not be held liable in any way for the Winner’s inability to gain lawful and/or timely entrance to the country where the Medlab 2023 event shall take place. 
    • There is no cash alternative for any of the prizes. .
    • The prizes are not negotiable or transferable. 
    • If for any reason Medlab Asia and Asia Health 2023 does not take place in person (for example, due to the ongoing effects of the Covid-19 pandemic), Informa will discuss with the Winner in good faith what impact this has on the prize.  For the avoidance of doubt, all participants acknowledge and agree that at no time will any cash alternative be provided by, or attempted to be claimed from, Informa. 

 

  1. WINNER ANNOUNCEMENT
    • The Winner will be announced onsite at Medlab Asia and Asia Health 2023 on 17 August 2023 (Announcement Date).  More information in regards to where and when the Winner will be announced shall be given to the Finalists once they are selected. 
    • Informa’s decision is final and no correspondence or discussion will be entered into in regard to accepting Abstracts, picking Presenters and selecting Finalists and the Winner.
    • Informa will contact the Presenters, Finalists and Winner via email/phone call as soon as practicable after the Announcement Date, using the email address provided with the Competition entry with any further details. 
    • Informa shall not be liable for the inability of a Presenter, Finalist or Winner to obtain any prize if they fail to provide any necessary further details (such as information required to arrange travel arrangements) in time. 

 

  1. CLAIMING THE PRIZES
    • Only one prize will be allocated per winning Abstract.  If a participant enters as a group, then only one person as a representative of the group shall be eligible to receive a prize and attend Medlab Asia and Asia Health 2023.  Once the group informs Informa who said representative will be, this cannot be altered. 
    • Prizes cannot be claimed by a third party on your behalf.
    • If a Winner cannot be contacted or is not available or declines the prize, Informa reserves the right to offer the prize to another of the Finalists. 
    • Informa does not accept any responsibility if you are not able to take up a prize.

  1. LIMITATION OF LIABILITY
    • Insofar as is permitted by law, Informa, its agents or distributors will not in any circumstances be responsible or liable to compensate the Presenters, Finalists, Winner or any participant, or accept any liability for any loss, damage, personal injury or death occurring as a result of taking up a prize or participating in the Competition, except where personal injury or death is caused by the negligence of Informa, its agents or distributors or that of their employees.  Your statutory rights are not affected. 
    • Although Informa shall take reasonable care in the printing and display (online or physical copy) of the entrants and any related material, it shall not be liable for any errors, omissions or misquotations that may occur.  All Abstracts are subject to the approval of Informa.  Informa reserves the right to reject any Abstracts at any time after receipt. 
    • Notwithstanding anything to the contrary in these Terms and Conditions, Informa reserves the right to cancel or postpone this Competition at any time at its sole discretion.  In the event that the Competition is cancelled or postponed, Informa shall use commercially reasonable endeavours to notify entrants of such cancellation.  Whilst Informa shall try to notify all entrants, it shall not be liable to any entrant for any loss or damage caused by such cancellation.

 

  1. OWNERSHIP OF COMPETITION ENTRIES AND INTELLECTUAL PROPERTY RIGHTS
    • Informa does not claim any rights of ownership in your Competition entry. 
    • By submitting your Competition entry and any accompanying material (including all information in any Abstract), you agree that Informa may, but is not required to, make your entry available on its website, at any Medlab conference organised by Informa or the Informa Group (including but not limited to Medlab Asia and Asia Health 2023) and any other media, whether now known or invented in the future, and in connection with any publicity of the Competition.  You agree to grant Informa a non-exclusive, worldwide, irrevocable licence, for the full period of any intellectual property rights in the Competition entry and any accompanying materials (including all information in any Abstract), to use, display, publish, transmit, copy, edit, alter, store, re-format and sub-licence the Competition entry and any accompanying materials for such purposes.

 

  1. DATA PROTECTION AND PUBLICITY
    • By submitting an entry into the Competition, you agree that Informa may use your name/s, job title, laboratory/institution name, town and country of residence and contact details in connection with displaying an Abstract in relation to clause 3.8. 
    • If you are a Finalist or the Winner of the Competition, you agree that Informa may use your name, image, job title, laboratory/institution name and town and country of residence to announce the Finalists and Winner of this Competition and for any other reasonable and related promotional purposes.
    • By entering the Competition, you agree that any personal information provided by you with the Competition entry may be held and used only by Informa or its agents and suppliers to administer the Competition. 

 

  1. GENERAL
    • By submitting an entry to the Competition, you agree to be bound by these Terms and Conditions.
    • If there is any reason to believe that there has been a breach of these Terms and Conditions, Informa, at its sole discretion, reserves the right to exclude you from participating in the Competition. 
    • Informa reserves the right to hold void, suspend, cancel, or amend the prizes or Competition where it becomes necessary to do so at its sole discretion.
    • By entering this Competition, participants warrant that there is no legal prohibition on them to enter and participate in the Competition, and as such participating does not contravene any laws in the jurisdiction or location in which they make their entry. 
    • To the furthest extent permitted by law, Informa shall not be liable to pay any taxes in relation to awarding the prizes.  Any such taxes shall the responsibility of the relevant participant (including, without limitation, the Winner). 
    • If Informa reasonably believes, once the prizes have been awarded, that any Poster is not an original work of an entrant and infringes on a third party’s intellectual property rights, the participant in question shall immediately refund any and all monies spent on awarding them any prize.
    • Participants hereby agree to fully indemnify Informa for any loss, damages or costs in relation to a breach of clause 4.3 of these Terms and Conditions, including any legal costs incurred in defending any third party claims.
    • In attending any Medlab conference, including but not limited to Medlab Asia and Asia Health 2023 and Medlab Asia Exhibition and Congress 2023, entrants agree to abide by the terms and conditions applicable to visitors. 
    • These Terms and Conditions shall be governed by English law, and the parties submit to the exclusive jurisdiction of the English courts.
